Platforms and file types we work with

Our process

- Scope and file review. We look at your source files, record volume, and field count before quoting.
- Field and formatting rules. We confirm column names, formats, and validation rules with you in writing, so both sides work from the same definition of “correct.”
- Pilot batch. For any project over roughly 500 records, we enter a small batch first, typically 25 to 50 records, and send it back for your sign off before running the rest. This is where most formatting disagreements get caught, before they’ve been repeated a thousand times.
- Full entry and formatting. We complete the batch in the agreed format.
- Validation. We check required fields, formatting consistency, and duplicates against the fields you specify, such as email, SKU, or invoice number.
- Delivery. You receive the finished file plus a short delivery note flagging anything unclear in the source material that needs your review.
Accuracy and quality control
Every project runs through a second pass review before delivery. One person enters the data, a second checks a sample of records against the source file and confirms required fields are complete. On our own quarterly tracked spreadsheet and CRM projects over the past year, this process has held field level accuracy at 99.5% or better on legible source documents. Handwritten or poorly scanned sources naturally carry more risk, which is exactly why we flag unclear fields rather than guess at them.
We won’t promise to perfectly recover information that isn’t legible in the source file. What we will do is tell you exactly which records we had to flag, and why, so nothing gets silently guessed at.
Security and confidentiality

- Files are used only for the scoped project and are not shared beyond the team working on it
- Where a client requires it, we sign an NDA before receiving files
- Source files and working copies are deleted from our systems within 30 days of final delivery, unless you ask us to retain them longer
- For online system access such as a CRM or ecommerce admin, we ask you to grant the minimum permission level the task needs, and to revoke access once the project closes
- Files are exchanged through an encrypted client portal or a shared drive with restricted access, not through unencrypted email attachments, and we can accommodate a client’s preferred secure transfer method on request
Example project
A mid size online retailer sent us a supplier catalogue of roughly 2,400 products in six inconsistent spreadsheet formats, some missing SKUs, others with prices formatted as text. We ran a 50 record pilot to confirm the target template, standardized product titles and categories, generated missing SKUs following the client’s existing numbering pattern, and flagged 63 products with unclear or conflicting pricing for client review before finalizing. The finished file uploaded directly into their ecommerce platform with no reformatting on their end, and the flagged items were resolved in a single follow up round.
A separate project for a program evaluation team involved entering 1,150 paper survey responses across 22 questions, including several Likert scale items and two open text fields.
